JOB DESCRIPTION

 

Position:  Office Specialist

Location: Fort Defiance, Arizona

Salary:   $31,194.72 per year   Full Time, 40 hours per week

SUMMARY:

The Office Specialist will coordinate and oversee administrative duties, ensuring that the office operates efficiently and smoothly.  Greet visitors.  Manage office supplies and inventory. Provide budget support.  Schedule meetings and special events. Coordinate with funding sources.  Must be highly organized, self-motivated, must be proficient in the use of computers, and have excellent attention to detail.  Occasional evening and weekend responsibilities.

MINIMUM QUALIFICATIONS REQUIRED:

1. Currently active in a 12 Step Program of Recovery with 3 to 5 years of VERIFIABLE Long Term Continuous Sobriety – OR- no recent history of untreated alcohol and /or substance use disorder(s)

2. High School Diploma or GED certificate

3. Associate’s degree in business administration – OR – 3 to 5 years of experience in a professionally complex clerical-administrative support position.  An equivalent combination of education and experience sufficient to successfully perform the essential duties will be considered.

4. Valid Driver’s License

5. Navajo speaking preferred but not required.

TASKS:

Greets and directs visitors as appropriate. Provides the general public with program information. Researches and responds to requests for program information.  Maintains and prepares Employee Payroll and related information. Directs people to appropriate resources.  Generates and edits program correspondence, reports, records, and forms.  Schedule meetings, appointments, and other services. Makes travel and lodging arrangements for program staff.  Oversees telephone services, email correspondence, and mail distribution.  Reviews reports, records, accounts, and other documents for completeness, accuracy, grammar, and syntax.  Processes employee, office and program related forms. Maintains office records and program/project reports.  Write meeting minutes as assigned.  Prepared work orders, supply requisitions and related documents.  Maintains and monitors inventory of office supplies, cleaning supplies and office equipment. May coordinate the work of others and provide training and program orientation to new employees.  Assist with office layout planning and office moves.  Assist in maintaining IT Infrastructure. Budge support. Identify opportunities for office management improvement. Provide other administrative support as necessary. General housekeeping, sweeping, mopping, cleaning kitchen, maintaining coffee and snack counter. Assist with occasional sobriety campout activities.  Screen and coordinate program participants requesting to do court ordered community services work.

 

KNOWLEDGE & SKILLS REQUIRED:

1. Ability to communicate effectively with program participants, staff, board of directors. Navajo Nation elected officials, other tribal program staff, vendors, and other affiliates. 

2. Knowledge of clerical/administrative office management practices and, and procedures.

3. Proficiency with Microsoft 365 Office Suite (Word, Excel, Access, and PowerPoint)

4. Working knowledge of QuickBooks small business accounting software.

5. Ability to prepare a variety of electronic records, reports, and correspondence.

6. Skilled in maintaining electronic and hard copy filing systems.

7. Proficient in English composition, grammar, and punctuation.

8. Knowledge of Navajo cultural beliefs and practices
